If you contact us online via the WhatsApp portal or General Enquiries form, details such as your mobile phone location and IP address may be stored on our server temporarily, until the cache has been cleared. 4.3 The Usage of Our Products/Services: including any installations, demonstration stock requests and sales. 4.4 Financial Information, including debt owed to us, account and credit information.

Van Os Medical UK Ltd will collect personal information from the following General Sources;
- Directly from you
- Information generated about you when using our Products and Services
- If you already have a product from Van Os Medical, have applied for one or have owned one previously
- Retailers who play a role in providing your Products and Services (If you are a member of the public this is where you purchased your product(s) from.
- From other sources such as Fraud Prevention Agencies, Credit Reference Agencies, debt recovery and/or tracing agents, other organisations to assist in prevention and detection of crime, police and law enforcement agencies
6. What Do We Use Your Personal Data For?
6.1 If you are a Retailer/Trader (Dealer) personal information that we collect from you as stated above in Section 4 will be used to obtain a Credit Check from Third Party Agencies, Fraud Prevention Agencies as well as Police and Law Enforcement Agencies. (Dealer Accounts Only)* Information that Van Os Medical will obtain from this Third Party will be;
- Credit Assessment of your business and a recommendation on trading terms and credit limit
- Information about your property, such as location used for delivering products or services
6.2 As the Customer (Retailer) or Consumer (End User) the personal information that we collect from you as stated above in section 4 will be used to help improve our customer service in regards to your General Enquiry. Information you provide to us will be stored until the query has been dealt with and will include;
- Full Name
- Email Address
- Telephone Number
6.3 We will also collect from you where applicable, details about your personal health, in regards to VAT Exemption purposes.
6.4 To Monitor and Record Communications between you and our members of staff, this includes external members too. The fields above are required fields, so Van Os Medical’s Customer Service Team can contact you where appropriate, to resolve your General Enquiry. Any other information provided in other fields, for example, Product Type and Query Box will be used to help deal with your General Enquiry. It is your responsibility and at your own risk if you decide to include other personal information, for example, Date of Birth, Address and other Numbers or Email Addresses where not a required field. 6.2 Personal information will be used to provide personalised content and services to you, for example, tailoring our marketing news and product/service offers to you should you choose to opt in. 7. When do we share your Personal Information with others?
7.1 We may share information with the following business partners Van Os Medical B.V or other third parties who help to provide our product(s) and service(s) to you and ensure the operating of our business. Business Partners of Van Os Medical UK Ltd companies and service providers, for example, our couriers for delivery of your product(s). 7.2 To carry out monitoring and to keep records of our communications with you and our staff to help improve your customer service and user experience when doing business with Van Os Medical UK Ltd. 7.3 As stated above in Section 4 we may share your personal information with other organisations and businesses who provide services to us such as Debt Recovery Agencies, Credit Reference, Fraud Prevention Agencies, Back-up/Maintenance providers, Server Hosting Providers, IT Software and Document Storage Providers and Suppliers of Back Office Functions for example, Couriers.
8. How and when can you withdraw your Consent?

9. Is your Personal Information transferred outside the UK?
Some personal information may be transferred/shared with suppliers from outside the UK, for example if Van Os Medical UK uses a European supplier for part of your order, Van Os Medical UK would share your address details to complete the delivery.
10. How do we share your information with Credit Reference Agencies?
To process your application, we may perform credit and identity checks on you with one or more credit reference agencies (CRAs). CRAs will supply to us both public (including the electoral register) and shared credit, financial situation and financial history information as well as fraud prevention information.
This information will be used to;
- Assess your credit worthiness and whether you can afford to take the product
- Verify the accuracy of the data you have provided to us
- Prevent criminal activity, fraud and money laundering
- Manage your account(s)
- Assess payment methods available to you
- Trace and recover debts
Van Os Medical UK will continue to exchange information about you with CRAs while you have a relationship with us. We’ll also notify the CRAs about your settled accounts. If you borrow and don’t repay in full and on time, CRAs will record the outstanding debt. This information may be given to other organisations by CRAs. The identities of the CRAs, their role as fraud prevention agencies, the data they hold, the ways in which they use and share personal information, data retention periods and your data protection rights. When CRAs receive a search from us they will place a search log on your credit file that may be seen by other lenders.
11. Do You have to provide your Personal Information to us?
Van Os Medical UK Ltd won’t be able to provide any products or services to you, if you do not provide certain information to us that we require. In cases where providing your personal information is required these fields will have an asterisk next to their titles or say required in brackets. See section 4 to find out more.

The definition of “Monitor” means listening to, recording of, viewing of, intercepting of, taking or and keeping records. This includes text messages, calls, emails, social media including Facebook, Instagram and Whatsapp messages/calls. We may monitor where permitted by law and if requested to do so from relevant parties where required, for example, to comply with regulatory rules, to prevent or detect crime. In the interests of protecting the security of our business communications, procedures, including; quality control for staff training purposes.
13. Can I request certain Product/Service promotional offers?
We may use information in the form of statistics of how you interact with Van Os Medical on Social Media, this includes Facebook, Instagram and WhatsApp. For example, if you show interest in a particular product online.
14. How long is your Personal Data stored by us?
As stated in Section 4.2 records of your Telephone Number including a log of call history may be stored to help us improve the efficiency of resolving your query. Or if you contact us online via the WhatsApp portal or General Enquiries form, details such as your mobile phone location and IP address may be stored on our server temporarily, until the cache has been cleared. Personal Information from you that we have in paper form, for example, printed will be kept until your query has been dealt with; of which your information will then be destroyed safely.
